1. The service
RefillQR is a lightweight restocking workflow for recurring supplies. It lets a workspace create supplies and locations, print QR labels, receive low-stock or empty reports, and manage the resulting restock workflow.
RefillQR is not a warehouse management, accounting or exact inventory-count system. You remain responsible for purchasing decisions, physical stock checks and any business process that requires exact quantities or regulated inventory controls.
2. Accounts and workspaces
You must provide accurate account information and keep your sign-in credentials secure. A workspace owner or administrator is responsible for the people they invite and for activity performed through those manager accounts.
Public QR pages are intentionally available without worker sign-in. Anyone with access to a valid QR link may be able to report that supply as running low or empty and may be able to add a short note where that feature is enabled. Place QR labels where this access model is appropriate for your organization.
3. Free access, trials and paid subscriptions
Plan limits and current prices are shown on the RefillQR pricing page and in the application. Free workspaces may be subject to lower usage limits. Eligible workspaces may receive one cardless paid-plan trial. A cardless trial does not automatically convert into a paid subscription.
Paid subscriptions renew on a recurring basis until canceled. Before starting a paid subscription, you must review the plan price and accept these Terms and the Refund & cancellation policy. Paddle Checkout then shows the amount due, applicable taxes and available payment methods.
Paddle and your purchase. Paddle.com acts as RefillQR's online reseller and Merchant of Record for paid orders. Paddle processes the payment, tax, invoice and payment-related return or refund workflow. Paddle's Buyer Terms also apply to transactions processed by Paddle.
4. Upgrades, downgrades and cancellation
For paid subscriptions, an upgrade may take effect immediately after you review and confirm Paddle's exact prorated charge. A downgrade is normally scheduled for the next renewal date so the current paid plan remains available through the period already paid for.
You may cancel a paid subscription using the billing controls provided in RefillQR or Paddle. Unless the interface states otherwise, cancellation is scheduled for the end of the current paid period. Workspace data is not automatically deleted merely because a subscription ends, but paid features and public QR access may be paused according to the plan and billing state.

5. Acceptable use
You may use RefillQR only for lawful purposes. You must not use the service to interfere with other users, probe or bypass security controls, automate abusive QR submissions, upload unlawful content, or use RefillQR in a way that violates applicable law or third-party rights.
We may rate-limit, suspend or disable access where reasonably necessary to protect the service, investigate abuse, comply with law, or prevent harm to RefillQR or other users.
6. Your workspace data
You retain responsibility for the information you enter into RefillQR. You grant the operator the limited right to host, process, back up and transmit that information as necessary to provide and secure the service.
Do not place sensitive personal data, payment card data, medical records, government identifiers or other information requiring special handling into supply names, notes, comments or public QR fields unless you have determined that doing so is appropriate and lawful for your organization.

7. Availability and changes to the service
We aim to keep RefillQR reliable, but the service is provided on an as-available basis. Maintenance, hosting failures, network issues, third-party outages or security events can cause temporary interruption.
We may improve, replace or discontinue features. If a material change affects a paid subscription, we will provide notice where required by applicable law or our contractual obligations.
8. Intellectual property
RefillQR, its software, branding, interface and documentation are owned by or licensed to the operator and are protected by applicable intellectual property laws. These Terms give you a limited right to use the service; they do not transfer ownership of RefillQR intellectual property.
9. Disclaimers and liability
To the extent permitted by law, RefillQR is provided without guarantees that it will be uninterrupted, error-free or suitable for every inventory, procurement or compliance process. You are responsible for verifying critical purchasing and stock information.
To the maximum extent permitted by applicable law, the operator is not liable for indirect, incidental, special or consequential losses arising from use of RefillQR. Any limitation in these Terms does not apply where liability cannot lawfully be excluded or limited, and it does not reduce mandatory consumer rights.
10. Suspension and termination
You may stop using RefillQR at any time. We may suspend or terminate access for material breach of these Terms, unlawful or abusive use, non-payment after the billing provider's recovery process, or where continued operation would create a security or legal risk.
11. Changes to these Terms
We may update these Terms as the product, law or commercial arrangements change. The updated date at the top of this page identifies the current version. Where required, we will provide additional notice or obtain consent before material changes take effect.
12. Applicable law and mandatory rights
These Terms are subject to the laws applicable to the RefillQR operator and to any mandatory rights that apply to you based on your location. Nothing in these Terms removes rights that cannot legally be waived.
